The working toolkit

Social media agency operations

Client work runs more smoothly when the brief, access, review expectations, and publishing responsibilities are explicit. These resources help agencies establish those agreements before the first campaign. Use them for a manual workflow or adapt them to the tools your team already uses.

Put it into practice

Build a process your team can repeat

Agree on the brief and boundaries

Capture the audience, offer, voice, evidence for claims, exclusions, and success measures. Name the client decision maker and the agency owner. Agree on what the engagement includes and what requires a separate decision before work starts.

Prepare access deliberately

Record which accounts and assets the team needs and who owns them. Use approved invitation and authorization flows instead of putting credentials in a checklist or Slack message. Keep internal agency discussion separate from client-facing review.

Test the client review journey

Send one representative draft, collect a concrete change request, and confirm who makes the final decision. Explain the deadline and rescheduling policy in advance. Choose a review method the client can actually use; a shared channel is only suitable when both organizations authorize it.

Repeat the process per brand

Use distinct owners, channels, assets, and account labels for each brand. Before publishing, verify that the content and destination account belong together. Review access when a person leaves or an engagement ends. Free checklists document your process; they do not provision access or enforce permissions.
